Create Assignments Using Calendar

The New Assignment Calendar provides options to make an assignment for the work order. The Display fields at the top of the page determine the tabs displayed on the calendar, allowing you to determine how assignments are to be made.

The majority of choices available in Display Table As correspond to labor records, supporting the search for individuals to whom assignments can be made. Several options displayed toward the top of the list allow you to filter to labor records that are associated with the work order’s repair center, shop, shift, or category.

The majority of options on the Display Tabs As field are from the labor perspective. The remaining options correspond to organizational views, such as assignments by shop, repair center, or zone. Since the display is at a higher organization level, the calendar displays in a view-only mode when these options are selected. These view-only modes are quite helpful for assessing work loads and determining the best date for an assignment. There are shortcuts available to create an assignment when these views are selected. Create a new calendar assignment:

  1. Choose between two options:

    • From the Work Order Details page, click the New Assignment button in the Assignments section on the right side of the page.

    • From the Work Order Assign page, click the New Assignment button.

  2. Select a labor perspective from the choices available on Display Tabs As.

    The calendar refreshes. Depending on the selection you make, an additional filter and/or a search field may display.

  3. If an additional filter is available, use it as described below:

    • Select a repair center to filter the results from the Repair Center field.

    • Select a type of estimated labor from the Estimated Labor field.

      The options available from the Estimated Labor field will depend on the type of estimated labor defined for this work order.

      If no estimated labor has been defined for this work order, the field will contain the value None. The display tabs will show all available labor records, as no filtering has been defined.

  4. If a search field is available, enter a search expression to limit the displayed results.

    The search will always be conducted on the last name of the labor record, based on the perspective chosen.

  5. Enter search criteria to limit the results listed in the Display tabs of the calendar.

  6. Click Go to execute the search.

    The calendar refreshes. The labor records corresponding to your search display on the calendar.

  7. Click the tab of the individual you want to assign.

    The tab for the selected individual is highlighted in red, and his / her name is listed in the header bar of the calendar. The calendar refreshes with current assignments for the selected individual. Each assignment will list Work Order ID, Asset, and Target Hours. The colors of the assignments correspond to the priority of the work order or its status.   8. Choose the date on which the assignment should be made.

    If you need to move to a different month, use the previous/next buttons. The following might be taken into account when considering the best assignment date:

    • The current date will be highlighted in yellow.

    • The target date for the work order will be outlined with a red dash.

    • The total hours already assigned to this individual will be listed in the upper-right corner of each date on which an assignment has been made.

  9. To select a date for the assignment, click the date on the calendar.

    The New Assignment Dialog displays. The dialog displays current information about the work order, asset, and individual to be assigned. By default, the assignment hours correspond to target hours for the work order, or one if there are no target hours defined, and the individual will be listed as the assigned lead and assigned PDA user.

  10. Choose between two options:

    • To change the hours, click a different number in the Hours display.

    • To designate partial hours, select minutes from the four options available.

      If the Anytime setting is set to Yes, you must select No to display the time controls.

  11. Select the Assigned Lead check box to indicate that this individual should be the assigned lead.

    Only one individual can be the assigned lead on a work order. If you designate an individual as an assigned lead, the system will remove this designation from any other individual with that designation.

  12. Select the Assigned PDA User check box if the individual should be assigned as a PDA user.

    Only one individual can be the assigned PDA user on a work order. If you designate an individual as an assigned PDA user, the system will remove this designation from any other individual with that designation. This field is only used by organizations using an early version of the offline product.

  13. Click Apply.

    There is no need to save the assignment, as it is automatically saved when you click Apply. This allows you to quickly move through work orders, creating assignments as needed.

    The Assignment Calendar appears with your new assignment displayed on the designated date. Since the assignment corresponds to the work order, it will be displayed in orange, regardless of the priority of the work order.

    To create multiple day assignments, you must create individual assignments for each day.
